What are exports? How can I create them?
In this article we will define what exports are and learn how to create templates to extract exports within the Platform.
Exports are Excel documents that we can download with information stored in the system. This data is used to obtain information on different aspects, such as the leads we capture or the opportunities we generate, as well as their status.
We can generate exports of the following sections:
Leads.
Customers.
Opportunities.
Incidents.
Products.
Users.
In order to create, download or delete exports, the user must have the permissions of the "Data exports templates" group activated.
Exports, by default, to Opportunities.
First of all, we would like to point out that in the "Opportunities" section, we will find 3 types of preconfigured exports that can serve as help or guide to create the exports we want:
- Status exports will allow us to obtain more information about the status of our opportunities, such as the name of the status in which the opportunity is located, when it was opened or if it has been closed, and the closing date.
- Exports of assignees that will give us the information related to the people responsible for each opportunity. Among the exported data, we will find the assigned user as well as the team and the company to which the user belongs.
- Exports of products from the offer through which we can consult information about the offer made for each opportunity. In this type of export we find data such as the type and status of the offer made as well as the name and manufacturer of the products offered, the units of the same, the cost and even the margin and VAT applied to each product for each offer and opportunity in particular.
In these preconfigured exports, no modifications can be made . We only have to select the type of opportunity we want to obtain the data from and click on "Generate export" (if we want it at the moment) or on " Generate periodic export " (if we want to schedule this export periodically).
Customizable exports for all sections
Within the platform we also find the option to create custom export templates. By creating the export templates ourselves, we can decide what information we want to download from the system about each of the sections so that they have the information and details that are most relevant to our company.
Where can I find this option? → Left side menu → Leads* → Export * This route will vary depending on the section for which we want to obtain the export template.
Once inside the section for which we are going to create the export template, we click on "Custom template" and we will proceed to configure our custom export template.
We need to give our export template a name and indicate which type of opportunity this type of export will apply to. At this point, only one type of opportunity can be indicated; if we want this type of export to be available for all types of opportunities, we will select "All".
The "Custom template" option will allow us to create a new template from one already created.
Next, in the "Published Fields" section we can indicate and mark all the dynamic fields that we want our export template to contain and once we have all the desired ones selected, we will click on "Save".
In an export template we can view the information collected in the dynamic fields of each section. In other words, an export for leads will allow us to add the dynamic fields created for the "leads" section.
In the right column, we can modify the order of the data that we will receive in the exports.
What else can I do from this section?
Once we have created the export templates that we want for the different sections of the platform, we can also:
- Duplicate any of the exports that we have already created. This is a quick and easy way to create new exports that have data in common with the existing ones.
- Delete export templates that will no longer be available for data generation (either manually or periodically).
- Generate exports on the spot in the event that we have data on the platform that can be collected. We would do this by clicking on the "Generate export" button.
- Filter the exports of the section you are searching in, to find the one you are looking for more quickly.
- Generate export newspapers with the template we just created and save.
