Record dispatches

In this article we will explain in detail how the "Record Dispatches" section works in our system. In this tab we can track all the interactions and processes automatically recorded in the platform. It is essential to have control and transparency over the workflows and operational efficiency within the platform, allowing you to efficiently manage the progress of sales or customer service.

Remember that in the opportunity flow we can configure different automatic opening or closing actions that will be executed when the closing or opening of the sub-state on which we have configured it is carried out. In the action history section we can see all those opportunities on which an automatic action has been executed, as explained below:

Each partner company will see the list of its own opportunities only.

E-mail
This section records all the opportunities to which an email has been sent automatically, i.e. those generated by an automatic action related to the change of sub-status. The information is organized in columns, which allows filtering by different criteria: the name of the opportunity, the name of the template used in the email, the email of the client who received it, the SMTP credentials indicating the account from which it was sent, and the sending status. The latter will appear as "true" if the email has been sent successfully and "false" if it could not be sent.

Activities
This tab records all opportunities that have an activity created automatically, that is, when a sub-status change is generated. The visible columns and possible filters will be: the name of the opportunity, the type of activity and whether the activity has been completed or not.

Substates
This section records all opportunities that have changed sub-status automatically, as a result of an automatic action configured in the workflow. It is possible to view and filter the information by opportunity, type of change, sub-status, and status of the action, whether completed or not.

Assignment
We can create an automatic action that assigns an installer or salesperson when a specific sub-status is opened or closed. All those opportunities on which this action is performed will be reflected in this section and can be filtered by assigned company, opportunity and status (accepted or not).

Information
This section contains the opportunities for which a report has been generated as a result of a scheduled action. The visible columns that can be filtered are: opportunity, template name, recipient, SMTP credentials (the address from which the email was sent), the report that was sent, and the status.

Exports
The automatic exports that we have generated on the platform will be recorded in this section and we will be able to see the status of each one of them, whether it has been successful or failed. We will be able to filter using the information presented organized by the columns: name of the template, type of export performed, extension of the downloaded document if it was csv or xlsx, the recipient of this export and the status.
