What are privileges and how do they work?

In this article, we will see how to manage the assignment of privileges that is carried out based on the channels and states/substates corresponding to each team and type of opportunity.

Where can I find this option? Settings → Privileges
Previous concepts → Team and role management, Opportunity types and processes

Below, we will explain the functions that we can find on this screen.

To set privileges, the user must have the 'Save Privileges' permission

Select all button

A new "All" button has been added for setting "view", "act" and "notify" privileges per channel and per status/sub-status.
Checking the box in the "All" column will apply the same settings to all channels and all states/substates.
This functionality improves the user experience (UX) by simplifying and speeding up the configuration of privileges, allowing adjustments to be made more efficiently.

See and Act

"View" and/or "Act" privileges may be granted:
  1. View: User can only view the client's opportunity
  2. Act: The user can act and manage the customer's opportunity

Share work with your team

By enabling this option, all opportunities will be visible to the entire team, regardless of whether the user is assigned to the opportunity or not.
This facilitates collaboration and overall visibility of opportunities within the team.

Notify

The notification field refers to the change in status of an opportunity, regardless of whether it is assigned to someone on the team or not.

Additionally, there is the possibility to configure four notification options for when a status change occurs:
  1. Do not notify : No notification will be sent, either by email or on the platform, about the status change.
  2. Notify by email : An email notification will be sent.
  3. Notify by platform : A notification will be sent within the platform.
  4. Notify by email and platform : A notification will be sent both by email and on the platform.

Cases depending on whether the opportunity is assigned or not:

  1. If the opportunity is assigned, the notification will be sent to the assigned team user, depending on the settings selected.
  2. If the opportunity is not assigned, a notification will be sent to the team leader indicating that someone needs to be assigned to the opportunity, provided that the leader is configured to receive notifications via the Platform, email, or both.
  3. In case notifications are disabled, neither the user nor the controller will receive notifications. Also, if as a user you cannot see or act on a specific status, you cannot receive notifications, and in that case, the notification field will be disabled with the 'do not notify' option enabled.
Remember that privileges are associated with each type of opportunity
